Terms and Conditions

These are the Vache Baroque Festival’s (VBF) Terms and Condition on which we supply services to you. Please read them carefully, before you submit your order, as they outline how we provide our products.

1. Refunds, Exchanges, Cancellations and Weather

Subject to availability, tickets may be exchanged up to one week prior to the event date purchased or accepted for resale, however resale is not guaranteed.

Tickets are non-refundable except under the circumstances outlined below.

We will offer refunds or exchanges in the event of cancelled performances as a result of changes in regulations from Public Health England.

Please note our festival takes place in a completely uncovered environment and the performances may experience rain. You can view the forecast here, please prepare accordingly. Performances may start slightly earlier or later to avoid inclement weather; hence we ask that all attendees arrive 30 minutes before the scheduled start time of the main performance.

In the event of heavy weather (i.e., snowstorm, lightning storm, etc.) the performance may be cancelled on the day, after the festival has begun. Tickets are non-refundable in the event of a cancellation because of the weather but may be exchanged for another performance at VBF, subject to availability.

Issuing a refund for any reason not outlined above is entirely at VBF’s discretion. 

To request a refund, exchange or resale, please get in touch with our box office (contact details below). VBF’s exchange, refund and resale facility is subject to a £5 per-ticket administration fee (free for Refund credit).

Refunds will only be made to the person who purchased the tickets, made in the same method used to purchase the tickets and services; and may be offered in the form of credit.


2. COVID-19

Coronavirus (COVID-19) is an infectious disease that can result in serious and potentially fatal illness. The risk of transmission is increased where people gather together. Some people are at a higher risk than others. Although we are implementing heightened safety measures, the risk cannot be entirely eliminated and, by attending the venue, you assume all risk associated with COVID-19.  

We will collect contact data about each ticket booker in line with our Privacy Policy. We may need to share your contact details with NHS Test and Trace, if they require.  

At the venue you must:

  • abide by all relevant government guidance
  • abide by all instructions given by our staff; our signage; and our full terms and conditions
  • permit your temperature to be screened upon arrival. If we assess (at our sole discretion) that your temperature is 37.8C or higher, you will not be allowed to enter the venue and the face value of your tickets will be refunded
  • wear a face covering if you cannot maintain a distance of 2 metres indoors
  • You must not attend the venue if you:
    • believe you may be infected with COVID-19
    • have experienced symptoms in the last 7 days
    • have been in close proximity to anyone who has experienced symptoms in the last 7 days
    • have arrived in England in the last 10 days and are not covered by the exemption rules relating to self-isolation, or
    • have been instructed to self-isolate.  

Any individual who considers themselves to be clinically vulnerable or who is in the same household or support bubble as someone who considers themselves to be clinically vulnerable is advised not to attend.


3. Tickets

When you enter the festival grounds you will be given your tickets’ seat allocation. Tickets are randomly allocated in a way to accommodate your whole group within the tier you have booked. If you book separately to your group or wish to sit together, please get in touch with the box office (contact details below). If your group is too large to accommodate we will be in touch to gather more details.

Please note that seating plans provided at the time of booking are only representative of the auditorium and lawn layout and may alter to incorporate individual production staging requirements. 

Accordingly, we reserve the right to relocate your seats and provide alternative seats of no less value to those specified on your ticket. We will notify you if your original seat is affected by any alterations in seating arrangements. 

During the performance ticket holders will only be able to view the performance from their allocated seating, unless otherwise stated by the Executive Producer. Any objection to this will result in a loss of ticket and you may be ejected from the grounds.

At VBF’s discretion, changes may be made to the advertised programme owing to circumstances beyond our reasonable control. This includes the use of understudies.


Tickets may only be purchased from the VBF website. We reserve the right to refuse sale of tickets to anyone we have reasonable grounds to believe is purchasing for the purpose of resale. Tickets may not be resold or transferred for profit or commercial gain. Any ticket in breach of these terms and conditions shall be void and its holder will be refused entry.


4. VBFriends Subscriptions

You have the right to cancel your VBFriend subscription and receive a full refund if cancelled within 14 days from the date of purchase. After this period, you can cancel your annual subscription but will not be refunded. To exercise the right to cancel, please let us know by emailing development@vachebaroque.com or write to us by post (details below).

We will use the same means of payment as you used for the initial transaction. In any event, you will not incur any fees as a result of the reimbursement.


5. Food and Drink

If you purchase a hamper in advance, your details and selection will be recorded. You will need to present the name on your booking to our catering partner to collect your hamper. 

We will assume that any hamper purchased will be picked up for the same performance under the booking name. If there is any doubt (i.e., you have two tickets booked to two separate performances, but only one hamper) we will assume the hampers are booked for the first chronologically occurring performance unless you have expressly told us otherwise. Please get in touch with the Box Office (contact details below) for any food and drink related queries. 

In the event of cancellation of a show because of the weather, food and drink purchased in advanced for consumption before the show is non-exchangeable and non-refundable, as all pre-show orders will be available at the venue before any such cancellation is announced. 

All advance food and drink orders will be available regardless of whether or not the show is cancelled as a result of the weather.

In the event of non-weather-related cancellations, you will be entitled to a refund for any advance food and drink orders not served to you.

Any menus planned by our catering partners are subject to availability and may be substituted. We cannot guarantee that menu items are nut-free. Please ask a member of the catering team on site for further details.

To allow you sufficient time to take your seats, the bar staff are asked to stop serving drinks five minutes prior to the show, and food service ends 15 minutes before the show. You are welcome to take drinks to your seat, but we ask that you do not eat during the performance.

In accordance with licensing regulations, you must be over the age of 18 to purchase and/or consume alcohol. You will need proof of ID if you appear to be under the age of 21. Off sales are not permitted.

To purchase food and drink in advance, you must confirm you are aged 18 or over. VBF is not liable for any misrepresentations of age. 



6. At the Venue

VBF reserves the right to refuse ticket holders admission to the venue in reasonable circumstances, which include health and safety, environmental or security concerns, licensing reasons, or where a ticket is void. The management also reserves the right to request ticket holders to leave the venue at any point on reasonable grounds and may take appropriate action to enforce this right without refund.

The use of cameras, recording equipment and mobile phones during performances is not permitted.

You must comply with the instructions and directions given by VBF Ushers. 

We are not liable for any loss, theft or damage of your personal belongings.

We cannot guarantee that latecomers will be admitted but will endeavour to admit them at a suitable point. Likewise, should it become necessary for you to leave your seat once the performance has started, we will endeavour, but do not guarantee, to re-admit you at an appropriate point in the performance. 


7. Children and Pets

We reserve the right to add our own age restrictions and recommendations to any production; parents should check each production prior to booking. Age restrictions and recommendations for children may apply due to the nature and suitability of the show. Unless stated otherwise, children under the age of 8 will not be admitted to the venue.

Unless stated otherwise, Children aged 8 and over shall require their own ticket which shall be at full price if no child concessions are available at the time of booking. 

At our discretion and in the interest of other patrons, parents with children may be asked to remove noisy children from the venue.

Whilst age recommendations and restrictions may be placed on some productions, it is the responsibility of the parent/guardian in advance of purchase to make their own judgement as to the suitability of a show for their own child.

We only allow assistance animals on site. Please do not bring your pets nor leave them in your car during the event.
